The problem

Group money disappears into opacity.

Across Ghana and the diaspora, family unions, churches, susu circles and community associations collect dues every month — and track them in exercise books, WhatsApp threads and one overworked treasurer's memory. Nobody can say, at any moment, exactly who has paid and who hasn't.

The result is quiet friction: disputes over months already paid, embarrassment when arrears are read out, and treasurers burning out. Existing tools assume card payments and corporate structures — not cash, mobile money and trust-based community groups.

Research & discovery

What we learned talking to treasurers.

  • The single most-wanted thing was a year view: every member, every month, paid or not, on one screen.
  • Records lived in the treasurer's head or an exercise book — when they travelled, collections stalled.
  • Members wanted proof of their own record — and groups wanted transparency without public shaming.
  • Anything that ignored WhatsApp or demanded card-only payments was dead on arrival.
Process

From exercise book to ledger.

01 · Research

Field interviews

Sitting with treasurers of family unions and church groups to map how dues really move — cash at meetings, momo transfers, promises.

02 · Planning

Scope & priority

Scheduling and payment tracking prioritized as the wedge — the two workflows causing daily pain, before anything else.

03 · Design

Low-bandwidth first

Every screen designed to load fast on 3G and work offline-first for attendance marking.

04 · Build

React + Node

A responsive web app with a PostgreSQL backend, built to run comfortably on a mid-range Android phone.

05 · Testing

In the field

Real tutors using the beta with their actual students — bugs and workflow gaps surfaced from real use, not test data.

The solution

One ledger the whole group can trust.

DuesFam replaces the exercise-book-and-memory stack with a single ledger built around four core workflows.

The yearly trackerEvery member × every month on one grid — paid, partial or owing, no ambiguity.
Payment loggingCash and mobile money recorded as they land, with running totals that always add up.
Member recordsOne profile per member with their full contribution history — no more scattered chats.
Group reportingWhatsApp-ready summaries and Excel exports the whole group can verify.
Outcome & results

Where it stands today.

DuesFam is live, with real groups using it to track dues and contributions month by month. Full production metrics will be published here as usage data accumulates.

Roadmap

What's next.

  • Now: Live in production — refining the tracker and payment logging from real group feedback.
  • Next: Member self-service view — every member checks their own record and receipts.
  • Later: Direct mobile-money collection — dues paid inside DuesFam, reconciled automatically.
